Airport transfers can be tainted by airline delays and slow or missing baggage return.
Additionally, attendees new to a destination or airport might get lost trying to find their way to the designated pick up location. Regardless of directional signs and placards with last names in big, bold letters, meeting planners say they inevitably will receive calls with attendees complaining that the driver is not on-site or they simply can’t find the pick up location. Missed signals often occur because attendees are busy checking email while trying to read airport signage.
Tip: It is important to provide concise directions (preferably in bullet point format) from the gate to baggage claim in your pre-conference materials, and explain in detail who and what attendees are looking for once they reach baggage claim. Include the phone number of the transportation coordinator or, even better, the driver. The more communication you can offer the easier transportation will flow.
